What exactly does Abakus do?

We're a hybrid consultancy: some automations are ready-made packages we adapt to your firm, others are built custom.
Will AI replace my staff?
No, and that isn't the goal. The aim is to remove the repetitive work (data entry, chasing, sorting, formatting) so your people can handle more clients, do more review and advisory work, and get through busy season without burning out. Professional judgment stays with your team.
Is my firm too small for this?
No. Solo practitioners have their own rate, starting at $800 to set up one automation and $125 a month to run it. You don't buy a package sized for a bigger firm. Document reminders and intake alone can give a solo preparer back meaningful time each week during season.
Can you replace the software we pay for?
Often, yes, and for most firms that's the goal. Client portals, practice management (TaxDome, Karbon, Canopy), proposals and billing (PandaDoc, Ignition), e-signature, shared inboxes, and automation subscriptions can be replaced by one platform built around your firm. Your tax software (Drake, Lacerte, UltraTax CS, ProConnect, CCH Axcess) stays, because it's what prepares and e-files the return, and we connect to it. We replace one piece at a time, never mid-season, and only where it saves you money or work.
How long until we see results?
A first automation typically goes live in two to six weeks after you approve the blueprint. Simple automations like document reminders can be live in days.
Do you work in Spanish?
Yes. We're based in Miami, and our founder and team work fluently in English and Spanish. Audits, meetings, training, documentation, and support are all available in Spanish, and we build bilingual client-facing automations so reminders, intake forms, and emails reach each client in their preferred language. We work with practices across the US, plus Puerto Rico and Latin America.

Most changes, such as a new reminder, a different approval step, an extra intake question, or a new email template, are live within hours of your request. Larger additions are scoped and scheduled with you, usually within days. There's no feature-request queue and no waiting for a vendor's next release.
Security & data
Is it safe to use AI with client tax data?
It can be, if it's set up properly. We use business and API offerings from AI providers under terms that prohibit training on your data, enable zero-data-retention where available, encrypt data in transit and at rest, and restrict access by role. Do you help with IRS Publication 4557 and the FTC Safeguards Rule?
Yes. Tax professionals are required to maintain a Written Information Security Plan (WISP). We design automations to fit inside it and provide documentation of data flows, access controls, and vendors for your WISP. We don't provide legal advice, so confirm compliance requirements with your own counsel.
Will you sign an NDA or data processing agreement?
Yes, as standard, before we look at any client data.
Pricing & contracts
Why is there a setup fee and a monthly fee?
Setup is the one-time cost to design, build, integrate, and test each automation. The monthly fee covers hosting, AI usage, monitoring, and changes for the automations you have running. Add one later and both numbers go up by that automation's rate. Drop one and the monthly fee comes down.
Is the audit really free?
Yes. It's a 45-minute working session, and you keep the ranked list of opportunities whether or not you work with us.
Can we cancel?
Monthly support can be cancelled with 30 days' notice. You keep the documentation and anything built inside your own accounts.
How much does AI automation cost for an accounting firm?
You pay for each automation you want, and the rate depends on firm size. A solo practitioner starts at $800 one-time setup plus $125 a month per automation. A small firm (2–10 people) starts at $1,500 plus $250 a month. A medium firm (11–40) starts at $2,500 plus $450 a month. A large or multi-office firm starts at $4,500 plus $800 a month. Two automations cost twice that. The free audit decides which ones are worth it and fixes the quote in writing before any work begins.

Which AI models do you use?
We choose per task, usually from OpenAI, Anthropic Claude, or Microsoft's Azure and Copilot offerings, and sometimes open models for private deployments. We're not tied to a single vendor.
What happens when the AI gets something wrong?
Every automation that touches numbers includes confidence checks and a human review step. Low-confidence values are flagged instead of passed through, and outputs link back to the source document so they can be verified quickly.
Who owns what you build?
You do. Automations built in your accounts are yours, and every workflow is documented in plain language.
